Job description

West Coast Partnership Development is a trusted partner of the Department for Transport (DfT) who are working towards creating and implementing the operations for High Speed 2 Ltd (HS2). Working to design, develop and mobilise the high-speed service operations which will deliver benefits including more capacity, quicker journey times and a step-change in customer experience.

 

We would like to present an exciting opportunity to join the WCPD PMO team as a Governance & Reporting Coordinator WCPD.

 

The Governance & Reporting Coordinator will support the Governance and Planning teams within the PMO to ensure delivery compliance to contractual requirements, assurance process and programme standards.

Also, the role will work with the Programme Delivery team to ensure all standards are adhered to and provide assurance that all deliverables have been through appropriate governance and quality control and support the implementation and embedding of changes to processes.

The successful candidate will also work with the Planning team to maintain the Accepted Programme and track deliverables to agreed Business Plan Commitments, assist in resource alignments to plan and build and amend new and current reports.

 

The key responsibilities of the role include:

 

Project Governance:

*       Work with PMO colleagues to develop, implement and maintain frameworks and standards for Programme and Project Management in WCPD

*       Facilitate slide pack creation and updates as required for WCPD Governance Boards - preparing agendas and working with colleagues to ensure timely completion of meeting papers to agreed quality standards and submission deadlines, including 4-weekly, quarterly schedules of regular meetings and ad-hoc requirements.

*       Working with PMO colleagues to ensure governance documentation is maintained across all programmes and products that is compliant with the NRC.

*       Working with the Head of Delivery and Programme Delivery Manager to ensure actions resulting from PMO assurance activities are successfully completed.

 

Risk Management:

*       Work with PMO colleagues in completing assurance reviews on Programme and Project Risks, Issues, Assumptions, Dependencies and Opportunities (RAIDO) with functional leads, product delivery managers and SMEs.

 

Performance Reporting:

*       Work with the Reporting Systems Analyst and functional data owners to identify and format required data to feed into Business and Programme reports.

*       Work with Reporting Systems Analyst, PMO colleagues, internal and external stakeholders (as required) to support preparation and quality reviews of all reports such as periodic, quarterly, annual and ad hoc performance reports to a stringent set of quality criteria and reporting deadlines.

*       Review content submitted in performance reporting, challenging consistency, accuracy, readability and addressing discrepancies as they arise.

 

Continuous Improvement:

*       Work with the Programme Delivery Manager, Reporting Systems Analyst, wider PMO colleagues and Functional SME's, to assess and analyse the processes, standards and contractual compliance checks for existing WCPD deliverables, proactively identifying gaps and making recommendations to existing processes, standards and templates to satisfy compliance checks.

*       Support the implementation and embedding of changes to processes standards and templates, maintain registers and records, monitor adoption and implement training and comms as required to address key findings.

  •  Manage ad hoc projects as required to improve efficiencies in our governance, reporting, information management and delivery processes and procedures.

Ensuring productive, effective and efficient relationships with key stakeholders including:

 

*       WCPD and AWC stakeholders (including but not limited to PMO, Heads of, Directors and stakeholders in First Trenitalia).

*       HS2 Limited, DfT and other external stakeholders (e.g., Network Rail, GBRTT, Consultants, Suppliers - including contractors) as required. 

 
 

The role is based in London and with the requirement for some travel on our network at times. The expectation will be a minimum of 3 days per week in the office. 

 

West Coast Partnership Development

West Coast Partnership comprises two distinct parts – Avanti West Coast and West Coast Partnership Development. Avanti West Coast runs the InterCity West Coast train services from London to north England, north Wales and Scotland. 

Our work in WCPD is focused on developing plans for what the new high-speed services will look like (customer experience), how they will work (railway operations) and how we will start running new services and trains (mobilisation). Over the next 10 years we will develop and implement a programme (HS2 Ltd are building the new railway and associated infrastructure).
